Pricing approach
QuickBooks uses five tiers that add features and users as you move up. Its headline UK promotion is a deep percentage discount for the first months. On today's deal, Sole Trader Plus costs £1 a month and Essentials £3.80 a month for 6 months. That often makes QuickBooks the cheaper option in year one.
Xero's plans are also tiered, with limits on things like invoices or bills on the cheapest tier. Promotions exist but are typically less aggressive. Over the long run, the gap narrows, so compare the full price you will pay after any discount ends. Full QuickBooks figures are on our QuickBooks pricing UK page.
Users
This is Xero's clearest advantage. Every Xero plan includes unlimited users. QuickBooks caps users by plan. If you have several people who need their own logins but only want basic features, Xero can be better value.
Making Tax Digital
Both tools are HMRC recognised for MTD for VAT and MTD for Income Tax. QuickBooks has leaned into the sole trader and landlord market with Sole Trader Plus, which includes Self Assessment preparation, CIS and mileage at a low price. Read our QuickBooks Making Tax Digital guide for how the quarterly updates work.
VAT
QuickBooks requires Simple Start or higher for VAT returns. Xero includes VAT across its plans. If you are a VAT registered sole trader, compare QuickBooks Simple Start against Xero's entry plan.
Payroll add on
QuickBooks Payroll is a separate add on in three tiers, with RTI submissions to HMRC, payslips and pension auto enrolment. Xero bundles payroll into some plans. If you only pay yourself through a limited company, either works. See our QuickBooks payroll UK guide.
Ease of use
QuickBooks feels more guided for people new to bookkeeping, and its mobile app is strong for receipt capture and mileage. Xero's bank reconciliation is famously quick, and many accountants train on it first. Both are far easier than spreadsheets.
Who should pick QuickBooks
- Sole traders and landlords who want an affordable MTD for Income Tax plan.
- Construction subcontractors who need CIS tracking without a premium plan.
- Owners who want a guided setup and good built in reports.
- Anyone who wants the lowest first year cost thanks to the 90% offer.
Who should pick Xero
- Teams that need many users on a basic plan.
- Businesses that depend on a specific Xero only app.
- Clients whose accountant works exclusively in Xero.
Our verdict
For most UK sole traders, landlords and small limited companies, QuickBooks offers better value in year one and a sole trader plan Xero does not match. If unlimited users or a particular app matter most, Xero is a fair pick. Not sure yet? Check whether the QuickBooks free trial or discount is right for you.
Switching from Xero to QuickBooks: step by step
If the comparison has tipped you towards QuickBooks, here is how the move usually goes for a small UK business.
- Pick your switch date. The end of a VAT quarter or the end of your financial year is cleanest.
- Export from Xero: contacts, chart of accounts, a trial balance at the switch date, and a list of unpaid invoices and bills.
- Claim the QuickBooks deal through our link and choose Buy Now on the plan that matches your needs.
- Import: upload customers and suppliers, then enter opening balances from the trial balance.
- Reconnect your bank feed from the switch date onwards.
- Re-authorise HMRC for MTD for VAT or MTD for Income Tax from inside QuickBooks.
- Keep Xero read only for history, or export the reports you need before cancelling.
Matching Xero users to QuickBooks plans
Because Xero includes unlimited users and QuickBooks does not, map your team before you choose:
- Just you, not VAT registered: Sole Trader Plus.
- Just you, VAT registered or a limited company: Simple Start.
- Up to 3 people: Essentials.
- Up to 5 people, with stock or projects: Plus.
- Up to 25 people: Advanced.
Your accountant usually has separate access and does not take a user slot.
Year one cost on QuickBooks, by plan
We do not quote Xero's prices, so check Xero's site for current pricing and compare it against these QuickBooks figures, all + VAT:
- Sole Trader Plus: £66 in year one with the deal, then £120 a year at full price.
- Simple Start: £105.60 in year one with the deal, then £192 a year at full price.
- Essentials: £250.80 in year one with the deal, then £456 a year at full price.
- Plus: £369.60 in year one with the deal, then £672 a year at full price.
- Advanced: £811.80 in year one with the deal, then £1476 a year at full price.
The fair way to compare is year one and year two separately, because QuickBooks' promotion is front loaded.
Mistakes when comparing Xero and QuickBooks
Comparing promo price against full price
Line up like with like: both promotional, or both full price. Otherwise one tool looks far cheaper than it is long term.
Ignoring user limits
If you need six logins, QuickBooks Essentials will not do. Count users before comparing.
Trialling both and losing the QuickBooks discount
Starting a QuickBooks trial to compare removes your eligibility for the discount. If you want to test, use the first low cost month on the deal instead.
Frequently asked questions
Is Xero or QuickBooks better for UK small businesses?
Both are excellent and HMRC recognised. QuickBooks tends to suit sole traders, landlords and owners who want strong built in reporting and a dedicated sole trader plan. Xero suits businesses that rely heavily on add on apps and an accountant who already uses Xero.
Is QuickBooks cheaper than Xero?
It depends on the plan and current promotions. QuickBooks has a sole trader plan from £10 a month + VAT, and right now offers 90% off for 6 months, which usually makes it cheaper in year one.
Do both work with Making Tax Digital?
Yes. Both QuickBooks and Xero are HMRC recognised for MTD for VAT and MTD for Income Tax.
Which is easier to use, Xero or QuickBooks?
Most users find both easy after a short learning curve. QuickBooks has a more guided feel for beginners. Xero is popular with accountants for its bank reconciliation screen.
Can I switch from Xero to QuickBooks?
Yes. Intuit and third party tools can move your contacts, chart of accounts and balances. Switching at the end of a VAT quarter or tax year is simplest.
Which is better for CIS subcontractors?
Both support CIS. QuickBooks includes CIS tracking on its low cost Sole Trader Plus plan, which suits self employed subcontractors.
Which has better mobile apps?
Both have capable iPhone and Android apps. QuickBooks is often praised for receipt capture and mileage tracking on the go.
Do Xero and QuickBooks include payroll?
Neither includes payroll in its cheapest plans by default. QuickBooks sells payroll as a separate add on; Xero includes payroll in some plans and limits employees on others.
